A financial services company with over 70,000 active client accounts was running its entire operation manually — daily processes across CRM, payments, and reporting, all handled by people logging in, running queries, and updating records by hand. Client outreach was limited to what the team could do one-by-one. Clients had no mobile access to their own accounts. Errors compounded daily, and there was no visibility into what was breaking until it broke.

Approach

Over 1.5 years, we built five production systems that now run the operation: • 16-script daily batch orchestrator with circuit breaker protection and automatic rollback • Penny-precise financial calculation engine with 206 automated tests • AI-powered email campaign system — personalized outreach with multi-signal reply classification • Native mobile app with magic-link auth, real-time dashboards, and offline-first architecture • Operations dashboards including sales leaderboard and performance monitoring

Result

40+ hours/week of manual work eliminated. AI email campaigns reached thousands of clients the team couldn’t contact manually — 42% reply rate vs. 1-3% industry average, 92 client responses across three campaigns. Clients now have 24/7 mobile access to their accounts. All five systems have been running daily for over 1.5 years.

Their Salesforce org had 227 custom fields, their product catalog had never been audited, and three previous agencies had tried and failed to migrate them to a modern platform.

Approach

We started where no one else would: a full operational discovery. • Mapped 227 custom Salesforce fields and their actual usage • Analyzed 17,000 products for data quality, duplicates, and categorization gaps • Produced 14 strategic documents — order flow, revenue attribution, migration architecture • Designed a phased migration plan with zero-downtime cutover
